How to automate Airbnb guest messages without losing the human touch

You can now automate most of your Airbnb guest messaging with AI, and the best operators automate 95% or more without guests feeling they're talking to a robot. On Build for Growth, the Host Planet series powered by Hostfully, Jay Ullrich, CEO of AI guest communication platform Host Buddy AI, explained how top hosts do it, where a human still needs to step in, and how good automation shows up in revenue.

Key takeaways

  • AI can now handle the full guest conversation, not just FAQs. Host Buddy says its top hosts automate 95%+ of messages.

  • Automation is only as good as your information. Write down your SOPs and the AI improves over time.

  • Done well, it sounds like you: same tone, same phrases, full memory of the conversation.

  • Faster responses help your search ranking, your reviews, and your upsell revenue.

What can you automate in guest communication?

The obvious ones are parking, pets, bed counts, Wi-Fi, and early check-in or late checkout requests. The bigger change is end-to-end workflows. Jay described AI coordinating with the cleaner, then messaging that day's arriving guest to offer a paid early check-in once the property is ready. That's time saved and extra revenue in the same message.

Treat AI like a new team member

"Garbage in, garbage out" applies here. You train AI the way you'd train a new hire: with your standard operating procedures. You don't need everything written on day one. When the AI doesn't know an answer, it flags the message for you instead of guessing. You reply, add the answer, and your automation rate climbs from 80% to 90% and beyond.

A side benefit: documenting your SOPs makes the whole operation run better, with or without AI.

Will automated messages feel robotic?

Not if you set it up properly. Guests now expect fast replies, and most are happy to get an instant answer at 2am without waking the host. A good AI tool studies your past conversations to copy your tone, message length, emojis and favourite phrases. It also remembers context. If a guest mentioned they're celebrating an anniversary and arriving at 6pm, it can offer an early bag drop when the unit is ready. Few humans remember that at scale.

Keep a person available for the small group of guests who want a human, especially by phone.

Why a unified inbox comes first

Messages from Airbnb, Vrbo, Booking.com, WhatsApp, and email need one inbox and one calendar. Jay shared how a forgotten listing on another channel led to a double-booked Thanksgiving: one family arrived to find another mid-dinner. A PMS connecting every channel prevents that and keeps your brand voice consistent everywhere.

When should a human take over?

You decide. Set "topics to avoid", such as pet exceptions, and route emergencies to named people. When a kitchen fire forced a 2am building evacuation on Christmas morning, Jay's AI told guests to call 911 and alerted maintenance at the same time. The follow-up work, like insurance and repairs, still needed people.

Does it make you more money?

Response time affects your OTA search ranking. Host Buddy's own data, analysed with IntelliHost, found hosts using it for six months or more saw higher average daily rates, higher occupancy, and better ratings. The company reports 12% more five-star reviews and just under $200 more per property per month. Selling gap nights between stays with minimum-night rules is one of the quickest wins.

Your first step this week

Look at your sent messages. If most could have been answered from your listing or PMS, start automating now. Connect your PMS, switch on gap-night offers, and add SOPs as questions come in. Don't wait until everything is perfect.

FAQs

Can I fully automate my Airbnb messages?

Almost. Top hosts automate 95%+ of guest messages with AI, with humans handling emergencies and sensitive cases.

Will guests know they're talking to AI?

Usually not. Good tools copy your tone and remember context. Some hosts choose to label it as an overnight assistant.

Do I need a PMS to automate guest messaging?

If you list on more than one channel or manage more than one property, yes. A unified inbox and calendar are the foundation.
